The inventory section of the item page shows you inventory information for an item.
It tells you:
- Your store locations that have this item
- Whether or not it is on site
- How many of the item you have on hand
- How many cases on hand
- How many were ordered via purchase order but not received yet
- When it was last ordered
- When it was last received
- When it was last sold
You can also:
- Determine how many of this item are in a master pack (case).
- Determine the minimum of this item you should have in stock (i.e. if there’s fewer than this number, it will show up in the low in stock report so you reorder).
- Indicate the minimum quantity required to order this (e.g. if you cannot order from the supplier fewer than 20 at a time or it doesn’t pay for you to order less than a certain amount).
- Change the status of the item to Blocked, Block Sell (such as if there’s a recall) or Block Buy.
Quick Inventory Transfer
The inventory section in an item is primarily for viewing purposes. The correct way to update this information is via purchase order. However, if you need to quickly update your inventory, you can do a Quick Inventory Transfer or a Quick P.O.
A quick inventory transfer allows you to move your inventory around without attaching it to a purchase order.
- Select which location you want to transfer it from
- Select which location you want to transfer it to
- Input how many you want to transfer. When you click out of the box it will automatically tell you, on the right, how many will be left at the old location and how many there will be at the new location.1
- Add any notes
- Select Transfer
1 Alternatively, you can input how many you want to leave at the old location or how many you want at the new location using the fields on the right; the system will calculate how many need to be transferred.
Note: To add items that are not at any other location, select OUT in the from field. To remove items from inventory without giving it a place to go, select OUT in the to field. This is not recommended because inventory should come from a proper purchase order or location, but it's available in case you need to correct a mistake or make a quick adjustment.

Use Search Similar Items to see if there’s an alternative you can use instead of an item that is out of stock:
Note: If the item is from a matrix, it will look for other items in the matrix. If it's a single item, it will give you a search to find whatever attributes you want, starting with the item name.
Quick P.O.
This allows you to produce a quick purchase order, which will be added to your purchase order list. Once created, you will need to send it to the supplier and/or receive it from the Purchase Order page.
